Event Management in Dubai: Corporate Events Produced by Our Own Crew

Last updated 2026-10-02

Most event management companies in Dubai win the brief and then subcontract the delivery — film to one supplier, stills to another, build to a third, staffing to a fourth. WWV Marketing (Worldwide Vendor) does not. Gulf clients contract with Worldwide Vendor F.Z.E, WWV's registered company in the United Arab Emirates, and the strategy, creative, film crew, photographers, media buying and PR all come from WWV's own studio team in New Cairo. The people who wrote the deck are the people on site in Dubai on the day.

We produce conferences, product launches, gala dinners, brand activations, exhibition stands and press events across Dubai and the wider UAE.

Brief us: WhatsApp or call +971 55 693 6219, or email info@wwv-eg.com. Send us the date, the venue shortlist and the headcount and we will come back with a production plan.

What types of events does WWV produce in Dubai?

Five formats cover most of what Dubai corporate buyers brief us on. Each one is produced end to end by WWV's own team.

Corporate conferences and summits

We build the run-of-show, the stage content and the motion graphics, then film the day on a two-camera record, shoot speaker stills, and cut same-day social edits while the room is still full. Speaker management, registration flow and the backstage call are run by WWV staff, not handed to a floor supplier. Everything that appears on screen is designed by the same team that wrote the agenda, so the messaging on the main stage matches the messaging in the deck.

Product launches and press events

For press events our in-house public relations service runs the whole media side: media list build, invitations and follow-up, accreditation and on-the-day press handling, interview scheduling, and the post-event release issued in Arabic and English. Arabic press material is written for the market from scratch, not translated from the English version. Product photography and the launch film are shot by our own crew on the day, so assets are in the client's hands for distribution rather than waiting on a third party's edit queue.

Gala dinners and awards nights

Table plan, host script, awards VT package, stage and screen content, red carpet stills and a highlights film. Host scripts and on-screen titles are produced bilingually where the room is bilingual. Where alcohol is served, the venue's licence and the associated approvals shape the venue shortlist — we plan the route early rather than at load-in.

Brand activations, roadshows and mall pop-ups

Activations are built as campaigns. The content shot at the activation feeds a paid campaign on Meta, Google, TikTok and Snapchat that is planned with the activation, not booked separately after it. Footfall capture, sampling flow, staff briefing scripts and the content shot list are written together, which is only possible because the media buyers and the film crew sit in the same studio.

Exhibition stands and sponsor presence

If you are exhibiting at a Dubai World Trade Centre show, the stand is only part of the job. We produce the stand content, the demo film, the lead-capture flow, the social coverage from the floor and the follow-up campaign to the people who scanned in. Stand build and rigging are sourced through UAE contractors; the creative, content and crew are ours.

We do not publish past Dubai venues or named projects as references unless a client has confirmed them for public use, so we've kept this page to the production model rather than a client roll call.

Who is actually on site on the day?

WWV's own team. This is the question most pages on this subject never answer, so it is worth setting out the two models a Dubai buyer is choosing between.

Model A — the layered Dubai model. A lead agency wins the brief. Film goes to a production house. Stills go to a freelance photographer. The build goes to a fabricator. Staffing goes to an agency that supplies hostesses. Sometimes a destination management company (DMC) or professional congress organiser (PCO) sits above or beside all of it. Three things follow. The idea in the pitch deck is rarely the idea that gets shot, because the person shooting it was briefed second-hand. Briefs degrade at every handover, and the detail that mattered — the line the CEO wanted on screen, the shot the sponsor paid for — is the detail that gets lost. And the number on your invoice carries a margin for every layer.

Model B — WWV. One team. Strategy, content, design, photography, film, editing, media buying and events are all delivered by WWV's own people. The idea in the strategy is the idea that gets shot and published.

What travels from Cairo and what is sourced in the UAE

A specific answer is more useful than "we handle everything", so here is the split.

Delivered by WWV's own team Sourced in the UAE
Event strategy and concept Venue and F&B
Run-of-show and stage content AV rig, screens, sound, staging
Film crew, directors and editors Rigging, fabrication and stand build
Photographers Power, licensed contractors and site services
Graphic design, signage and invitation artwork Permits and official approvals
PR, media list and press handling Local staffing and hostess partners
Paid media across Meta, Google, TikTok and Snapchat Transport, freight and customs clearance

The UAE column is work that must be done by licensed local suppliers or the authorities themselves. The left column is the work that decides whether the event looks and sounds like the brand — and that column never leaves WWV.

How you approve things

Every WWV client gets a portal, which runs on Wieldy, the agency platform WWV uses to run the studio. For an event that means the run-of-show, the creative, the invitation artwork and the post-event assets are reviewed and signed off in one place with a version history — not chased through a WhatsApp group at midnight.

The commercial consequence

Production is costed out of the Cairo studio while the contract sits with Worldwide Vendor F.Z.E in the UAE. That is the structural reason WWV can put a full production crew — director, camera operators, photographer, editor — inside a budget that would otherwise buy event coordination alone. We do not publish day rates, because the honest number depends on the scope. See the cost section below for what actually moves it.

How does a Dubai event run, week by week?

Here is a realistic eight-week run for a corporate conference or launch, with who does what.

Stage What happens Who
Weeks 8–7 Brief, objective and the measurement definition. Budget split agreed across venue, production and media WWV strategy lead + client
Weeks 6–5 Creative concept, run-of-show v1, venue and supplier lock, permit route started WWV + UAE venue and contractors
Weeks 4–3 Content and film pre-production, shot list, invitations and media list, paid campaign build WWV studio, PR and media buying
Week 2 Rehearsal, speaker content lock, all assets approved in the Wieldy portal WWV + client
Week 1 Load-in, technical dry run, final run-of-show issued WWV + AV and venue
Event day Crew on site: director, camera, photographer, event manager, PR handler WWV
Week +1 Edit delivery, press follow-up, campaign reconciliation WWV

Eight weeks is workable for a hotel ballroom conference. Anything involving outdoor space, public ticketing, a custom build or a peak-season venue needs longer.

Permits and approvals

Event permits in Dubai are administered through Dubai Economy and Tourism (DET, the authority formerly known as DTCM). Events held inside a free zone or a master-planned community usually also need clearance from that zone or community authority, and venues such as Dubai World Trade Centre have their own event and contractor approval processes. Alcohol service, outdoor events, public ticketing, drones, pyrotechnics and prize draws each carry separate approvals with their own lead times.

WWV manages the permit route with the venue and the appointed local contractors, and builds the lead time into the schedule. Fees and processing times change, and they are not ours to quote: confirm the current requirements and timelines directly with Dubai Economy and Tourism and with your venue before you commit to a date.

Calendar constraints a Dubai event buyer has to plan around

How much does a corporate event in Dubai cost?

There is no single figure, and any page quoting one is guessing. What is useful is the structure, because it tells you where your money actually goes and which lines you control.

Cost component What drives it
Venue and F&B Per-head catering, venue tier, season, minimum spend
AV and staging Screen size, rig complexity, number of days on site
Creative and content production How much is made before the day vs captured on it
Permits and approvals Format, location, alcohol, outdoor, ticketing
Staffing and hosts Headcount, hours, languages required
Paid media amplification Campaign duration, platforms and target reach

Three variables swing a Dubai quote harder than anything else:

  1. Venue tier and season. Peak season runs roughly November to March. The same ballroom in July and in February are not the same price, and in peak weeks the venue may not be available at all.
  2. Whether film and photography are in scope from the start. Added late, coverage costs more and delivers less, because the content was not designed into the run-of-show.
  3. Pre-produced versus captured content. Content shot in advance in the studio is cheaper per finished minute than content captured live. The right mix is a budget decision, not a creative one.

We don't publish a standard quoting currency or VAT treatment here, because it depends on the contract and scope — ask us directly when you brief us and we'll set it out clearly before any work starts.

To get a real number rather than a range, send us five things: the date, the venue or venue shortlist, the headcount, the format, whether film and photography are required, and whether you want a paid campaign wrapped around it.

What do you get after the event finishes?

A campaign, not a photo gallery. Because WWV runs seven services in house, the event feeds everything that comes after it.

On the paid side, budget, spend, reach and cost per result are reconciled and shown to the client every month. Post-event amplification is reported, not assumed.

Most WWV clients are on a monthly retainer, so the agency runs the account day to day and the event sits inside an ongoing programme rather than arriving as a one-off drop. We also take standalone event projects where that suits the client better.

What proof is behind the Dubai contract?

A working studio with a full client list. WWV runs 16 brands day to day from its New Cairo office at Arabella Plaza, across healthcare, tourism, fashion, food and professional services — the named clients include Beautify Clinic, Fit Oat, Golden Gulf, Best Egypt Holidays, MZ Abayas, Salemeen Clinic, Sanad Consult and Shino Tours. We do not claim any of these as Dubai events. They are the reason the crew, the editors and the media buyers exist as a standing team rather than a freelance roster assembled per brief.

Work is delivered in Arabic and English. For events that means host scripts, signage, invitations, stage content and press materials in both languages, with Arabic written for the market from scratch rather than translated from English.

On structure, for procurement: WWV is short for Worldwide Vendor, a full-service marketing agency. Gulf clients contract with Worldwide Vendor F.Z.E, the registered UAE company. The studio, the crew and the day-to-day team are based in New Cairo, and WWV also has a presence in the United Kingdom.

Frequently asked questions

Do you subcontract production?

No. Strategy, content, design, photography, film, editing, media buying and events are all delivered by WWV's own team. For a Dubai event, venue, AV rig, staging, fabrication, permits and local staffing are sourced from licensed UAE suppliers, because they must be. The creative and the crew are ours.

Do I contract with a UAE company or an overseas one?

With a UAE company. Gulf clients contract with Worldwide Vendor F.Z.E, WWV's registered company in the United Arab Emirates, while production and crew come from the Cairo studio team.

Who handles the Dubai event permit, and how long does it take?

WWV manages the permit route alongside the venue and the appointed local contractors. Permits are administered through Dubai Economy and Tourism, with additional clearance needed for free zone or community locations, and separate approvals for alcohol, outdoor space, public ticketing and effects. Confirm current fees and processing times directly with DET and your venue — they change.

How far in advance should I book an event in Dubai?

Eight weeks is a workable minimum for an indoor conference or launch in a hotel ballroom. Allow longer for peak season (roughly November to March), for custom builds or outdoor formats, and for any date adjacent to Gitex Global or Arab Health, when Dubai venues, AV stock and freelance crew are all heavily booked.

Can you plan a Ramadan iftar or suhoor event?

Yes. Iftar and suhoor formats are planned around the timing of the fast, which reshapes the run-of-show, catering, speaker slots and crew call times. Host scripts, invitations and signage are delivered in Arabic and English, with Arabic written for the market from scratch rather than translated.

Do you provide the film crew and photographers, or is that a separate booking?

They are WWV staff, included in the production scope rather than booked as an outside supplier. The same team edits the footage afterwards and delivers the main film, the social cutdowns and the stills library, so the brief never passes to a third party.
